Bill of sale template — general and vehicle, ready to sign

Ready, not blank.

Fill it in and download it in Word for free.

Short answer. Two forms in one Word file: a general bill of sale for furniture, equipment or electronics, and a motor vehicle bill of sale with VIN, odometer statement, liens and an as-is clause. Vehicle title: the seller signs the certificate of title over to the buyer; the bill of sale supports it (state DMV rules).

A bill of sale records the sale; it does not replace the vehicle title, odometer disclosure, registration or sales-tax steps your state requires.

Step by step

What to do, in order

  1. 1

Check the ID and the title

Make sure the seller’s name matches the title and the VIN matches the vehicle.

  2. 2

    Describe the item

Make, model, year, serial number or VIN, and what is included.

  3. 3

    Record price and payment

Amount in figures and words, payment method and any balance due.

  4. 4

    Sign two copies

Seller and buyer each keep a signed copy; notarize if your state requires it.

  5. 5

    Finish the state steps

Title transfer, plates, registration and release-of-liability notice — on your DMV’s website.

Questions

What makes a bill of sale legally useful?

Names and addresses of both parties, a clear description (serial number or VIN), the price, the date, whether it is sold as-is, and both signatures. Some states have their own form or require notarization.

Do I need a bill of sale if I sign the title?

The title transfers ownership of a vehicle; many states and buyers still want a bill of sale as proof of the price and terms. Keep both.

What does “as is” mean?

The buyer accepts the item in its current condition with no warranty from the seller, unless the bill of sale lists a specific promise.

Where do I write the odometer reading?

On the title in the odometer section, if the vehicle needs a federal odometer disclosure, and again in the vehicle bill of sale. Never round or estimate.

Can I use it for a boat, trailer or motorcycle?

Use the vehicle form for motorcycles and RVs. For boats and trailers, check your state — many have their own titling or registration form.

Can both sides sign online?

Yes. Sent from Layers, the bill of sale can be signed by both parties with a code from their email, and each keeps the signed copy.
